This Privacy Policy describes how SPH HelpDesk ("the App"), developed and operated by Speedlink Hi-Tech Solutions Limited on behalf of the School of Public Health, University of Port Harcourt, collects, uses and protects your information when you use our student support platform.

1. Information We Collect

We collect the following information when you use SPH HelpDesk:

Student identity information — your name, student ID, matric number and email address, as registered with the School of Public Health.
Support request content — the content of tickets you submit, including messages, replies and any files you attach.
Contact information — your phone number and email address, used to send you notifications about your support requests.
Device information — your device type, operating system and push notification token, used to deliver in-app notifications.
Usage data — pages visited and actions taken within the app, used to improve the platform.

2. How We Use Your Information

To create and manage your support tickets
To notify you of updates to your requests via email, WhatsApp and push notification
To verify your student identity and enrolment status
To enable support staff to respond to your enquiries effectively
To generate anonymised analytics for service improvement

3. How We Share Your Information

Your information is not sold, rented or shared with third parties for commercial purposes. Information may be shared only in the following circumstances:

With SPH administrative and academic staff, strictly for the purpose of resolving your support requests
With technology service providers (hosting, email, push notification services) necessary to operate the platform, under data processing agreements
Where required by law or University policy

4. Push Notifications

The app uses Firebase Cloud Messaging (FCM) to send push notifications to your device. You may disable push notifications at any time through your device settings. Disabling notifications will not affect your ability to use the app or receive email and WhatsApp notifications.

5. WhatsApp Integration

If you contact SPH HelpDesk via WhatsApp, your phone number and message content are stored and linked to your support ticket. This information is processed in accordance with Meta's WhatsApp Business Platform terms.

6. Data Retention

Your data is retained for as long as your student enrolment is active and for a period of five years thereafter, in accordance with the University's records management policy. You may request deletion of your data by contacting support@uphsph.edu.ng.

7. Data Security

We implement appropriate technical and organisational measures to protect your data, including HTTPS encryption, secure database storage and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

You have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data (subject to legal and institutional obligations)
Withdraw consent for push notifications at any time

9. Children's Privacy

SPH HelpDesk is intended for use by university students and staff aged 18 and above. We do not knowingly collect information from persons under 18.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. Continued use of the app after changes constitutes acceptance of the updated policy.
